Booking Process

We recommend booking 3 to 6 months in advance, especially for travel during peak seasons (spring and fall) or around major holidays and events. Booking early ensures you get the exact vehicle type you need and locks in the best rates. However, we can often accommodate last-minute requests depending on fleet availability in your area.

Requesting a quote is fast and completely free. You can use our online form or call our reservation specialists 24/7. We will need your trip details—such as passenger count, pickup and drop-off locations, dates, and vehicle preferences. Once we have this information, our team will generate a customized, no-obligation quote tailored to your itinerary.

To give you the most precise quote, we need your group name, contact information, pickup date and time, pickup address, destination address, and a general trip itinerary. We also need to know the number of passengers, the type of trip (e.g., corporate, school, private), and your preferred vehicle type.

Yes, you can make adjustments to your itinerary after your reservation is confirmed. We understand that plans change, and we offer flexibility. Please contact your dedicated reservation specialist as soon as possible with any updates. Note that significant changes to mileage, duration, or vehicle type may result in a price adjustment.

No, you do not need to create an account to request a quote or complete a booking. Our process is designed to be frictionless. However, for recurring corporate or government clients, we can establish an account profile to streamline future bookings and centralize billing.

Pricing & Payment

Pricing is determined by several factors: the time of year, total mileage, duration of the trip (hourly, daily, or multi-day), the type of vehicle selected, and the starting city. Additional costs may include parking fees, tolls, and the driver's hotel accommodation for overnight trips.

To secure your vehicle, we typically require a deposit (usually a percentage of the total trip cost) at the time of booking. The remaining balance is generally due 14 to 30 days prior to your departure date. We accept all major credit cards, wire transfers, and corporate checks.

Our cancellation policy varies slightly based on the vehicle type and the season. Generally, cancellations made well in advance of the trip receive a full or partial refund of the deposit. Cancellations made within 30 days of departure may incur fees. Your contract will explicitly detail the cancellation terms for your specific booking.

Driver gratuity is usually not included in the base quote unless specifically requested or mandated by a corporate contract. We recommend a tip of 10% to 15% of the total charter cost as a standard industry practice to reward excellent service, which can be paid in cash at the end of the trip.

Safety & Compliance

Safety is our absolute priority. Every driver operating within our network must hold a valid Commercial Driver’s License (CDL) with a passenger endorsement. They undergo rigorous pre-employment background checks, ongoing drug and alcohol screenings, and hold current medical certifications as required by federal law.

Absolutely. Every vehicle in the Nationwide Charter Buses network strictly adheres to Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMCSA) regulations. This includes mandatory, rigorous preventative maintenance schedules and regular safety inspections.

We maintain comprehensive liability insurance coverage that meets or exceeds all federal and state requirements for commercial passenger carriers. The exact coverage limits depend on the vehicle size (e.g., $5 million minimum liability for vehicles carrying 16 or more passengers).

While breakdowns are rare due to our strict maintenance standards, we have a nationwide 24/7 dispatch and support infrastructure. In the unlikely event of a mechanical issue, we will immediately dispatch a replacement vehicle from our nearest depot or partner facility to minimize disruption to your schedule.

Fleet & Capacity

The right vehicle depends on your passenger count and the distance of your travel. For small groups (up to 15), a Sprinter Van is ideal. Mid-sized groups (up to 35) often prefer a Minibus for local shuttling. For large groups (up to 56) or long-distance travel, a full-size Charter Bus provides maximum comfort and luggage space.

Our modern charter buses come equipped with premium amenities, including reclining seats, climate control, onboard restrooms, overhead parcel racks, and undercarriage luggage bays. Many vehicles also feature free Wi-Fi, power outlets, and DVD/PA systems. Minibuses and vans offer comfortable seating and climate control, though typically without restrooms.

Yes, food and non-alcoholic beverages are generally permitted on board. We ask that you avoid messy foods or glass containers for safety and cleanliness. If your group requires alcoholic beverages, please inform your reservation specialist, as specific rules and additional deposits may apply depending on the state and vehicle provider.
